How to Set Up a Patient Check-In Kiosk for Your Clinic

A step-by-step guide to deploying a self-service patient check-in kiosk that reduces wait times and frees up your reception staff.

Why clinics are switching to self-service check-in

Long queues at reception frustrate patients and overload staff. A check-in kiosk lets patients confirm their arrival, verify details, and pay outstanding invoices — all without waiting in line.

For clinics in New Zealand and Australia running Cliniko, adding a kiosk takes minutes with BAITL.

What you need

  • A tablet or touchscreen — any modern iPad, Android tablet, or wall-mounted display with a web browser.
  • A BAITL account connected to your Cliniko practice.
  • Wi-Fi in the waiting area.

That's it. No app installs, no special hardware.

Step-by-step setup

1. Connect Cliniko

In your BAITL dashboard, go to Settings → Cliniko and paste your Cliniko API key. BAITL verifies the connection instantly.

2. Configure your kiosk

Under Settings → Kiosk, choose a URL slug (e.g. my-clinic) and set a staff PIN. The PIN prevents unauthorised access — staff enter it once each morning to unlock the kiosk for patients.

3. Enable payment methods

If you want patients to pay at the kiosk, enable one or more payment methods:

  • EFTPOS — connect a Verifone terminal for tap-and-go card payments.
  • POLi — online banking for patients who prefer direct transfer.
  • Bank transfer — display your account details for manual payment.
  • Cash — record cash payments for reconciliation later.

4. Open the kiosk URL

Navigate to https://baitl.ai/kiosk/my-clinic on your tablet. Enter the staff PIN to activate the session. The kiosk is now ready for patients.

5. Place the tablet in your waiting area

Mount it on a stand or counter where patients can easily reach it. The interface is designed for touch — large buttons, clear text, minimal steps.

What patients see

  1. Enter surname and date of birth — BAITL searches today's appointments in Cliniko.
  2. Confirm arrival — one tap marks them as arrived. Your reception team sees the update in Cliniko immediately.
  3. Pay invoices (optional) — if there are outstanding invoices, the patient can pay before sitting down.

Security

  • The kiosk session expires after 12 hours, requiring staff to re-enter the PIN.
  • Patient data is encrypted end-to-end between the kiosk and the server.
  • Failed PIN attempts trigger exponential lockout to prevent brute-force access.
